Summary Description: The Professional and Graduate Studies (PGS) Contracts and Scheduling Coordinator is a part-time, benefit eligible position reporting to the Associate Vice President of Academic Affairs. This role ensures consistent access to academic support services for PGS faculty. Works in collaboration with faculty leaders to ensure all courses have faculty assignments; oversees and manages contracts and instructional support for adjunct faculty; manages classroom assignments; works with faculty and faculty leaders to problem-solve instructional issues. Creates, maintains, and distributes course schedules and ensures appropriate classroom accommodations for PGS courses.
Facilitates adjunct faculty assignments and manages adjunct faculty loads, including (but not limited to): Meeting regularly with division chairs/deans and program leaders to review and assign instructors to upcoming PGS courses. Tracking open courses and soliciting faculty for open assignments Creating, distributing and collecting faculty contracts for all adjunct faculty Enlisting faculty involvement with candidate interviews Tracking courses with low enrollment and facilitating appropriate decision-making regarding cancellations, low enrollment contracts, etc. Scheduling special presentations, such as Thesis Workshops and Presentations, etc., including all related logistical needs Directs day-to-day operations with instructional staff, including (but not limited to): Securing substitute instructors in emergency situations (during regular hours) Responding to questions related to adjunct salaries and related payments Facilitating communication with advisors and faculty when changes are required (e.g., cancellations due to illness, inclement weather, etc.) during regular hours Creating and distributing regular communications with faculty and staff serving in remote campuses to ensure up-to-date instructions for service in various locations. Ensuring consistent and timely payment for curriculum development. Developing and maintaining quality processes for the dissemination and use of course evaluation data. Works collaboratively with the Curriculum & LMS Quality Assurance Specialist to ensure consistent and timely payment for curriculum development, to ensure proper distribution of course evaluation data, and to ensure that the AVP is informed of challenges in the process of supportive academic services. Creates new PGS cohort calendars and distributes to staff. Maintains and updates existing calendars as necessary to ensure that all staff members have access to accurate calendars. Ensures timely creation of course sections, including creating sections and instructional records in Colleague. Oversees requests for payment and purchase requisitions for PGS functions. Collects and reviews invoices, including purchases made with PGS credit card, and ensures timely submission. Maintains presence in the office during agreed-upon hours and attends staff and department meetings as required. Contributes to the support and implementation of the University Strategic Plan. Participates in Warner Pacific University professional development opportunities as able. Demonstrates commitment to a Christian liberal arts education by upholding to the mission of the University and abiding by the Employment Standards and Lifestyle Agreement. Performs other duties as assigned.
Five years of experience in an office/professional environment Proficient computer skills in word, excel, PowerPoint, Outlook, etc. Valid driver’s license and ability to drive to and from 205 campus (PGS/ADP) and traditional campus, and remote campuses as required. Ability to work collaboratively and with limited supervisory oversight. Experience working with diverse populations.
Bachelor degree in business related field Management experience in Higher Education environment Professional experience in an accelerated Adult Learning program. Spanish language skills.

The position is located in a typical office environment. Professional/business casual attire is required.
