What it calculates

Use the result as a scenario, not a black box

A simple headcount target is less useful than a workload model. This calculator starts with the service minutes demanded by customer traffic, then divides by operating hours and target utilization. The utilization factor leaves room for checkout variation, education, compliance tasks, breaks and non-customer work.

How the math works

Direct service hours = transactions × average service minutes ÷ 60. Concurrent coverage = service hours ÷ open hours ÷ target utilization. Weekly labor hours = concurrent coverage × open hours × open days. FTE = weekly labor hours ÷ 40.

Example

Two hundred forty transactions at eight minutes each create 32 direct service hours per day. Across a 12-hour day at 75% target utilization, the model calls for about 3.6 concurrent budtenders, which rounds operationally to four during the modeled average period.

Questions about this calculator

Why not staff to 100% utilization?

Because real retail work includes variability, breaks, compliance steps and non-selling tasks. A utilization target creates operating headroom.

Does this replace a daypart schedule?

No. It gives a weekly workload baseline. Use hourly POS traffic to build opening, peak and closing coverage.

Can I use this for reception staff?

Yes, if you substitute reception transactions and average handling time.
